The Documents You'll Almost Always Need

Government-issued photo ID. A driver's licence, passport, or other government ID — have a clear copy ready to submit, not just physically on hand for a viewing.

Proof of income. This is usually the biggest factor in how quickly your application gets approved:

  • Employed applicants: your two most recent pay stubs, plus a signed employment letter confirming your position, salary, and start date

  • Self-employed applicants: your most recent Notice of Assessment or several months of bank statements showing consistent income

  • New to Canada or new job: a signed offer letter and, where possible, bank statements showing available funds as a supplement

A completed rental application. Most landlords and property managers use a standard application form covering your current and previous address history, employment details, and consent for a credit check — filling this out completely and accurately the first time avoids delays.

Previous landlord references. Contact information for your current and, ideally, a previous landlord. A reference from a landlord you no longer rent from often carries more weight, since they have no ongoing incentive to give you a favourable review.

First and last month's rent. Ontario landlords can generally require first and last month's rent at lease signing — have these funds accessible and ready, not just theoretically available.

What Makes an Application Stand Out

  • Submit everything at once, not piecemeal. A complete application submitted the same day you view a unit is genuinely more competitive than a strong application that trickles in over a week.

  • Match your income to the unit realistically. Most landlords look for gross income around three times the monthly rent — if you're close to that threshold, having a guarantor lined up in advance can strengthen your application meaningfully.

  • Write a brief, genuine cover note if the application format allows it. A short note about your rental history and why the unit fits your needs humanizes an application that might otherwise be one of many.

  • Be upfront about anything a credit check might flag. If there's a blemish on your credit history, addressing it directly and briefly — rather than hoping it goes unnoticed — tends to land better with property managers than silence followed by a surprised conversation later.

Common Mistakes That Slow Applications Down

  • Incomplete employment letters. A letter missing your salary, start date, or an employer signature often gets sent back for correction, costing you valuable time against other applicants.

  • Outdated address history. Gaps or inconsistencies between your application and your credit report can trigger extra verification steps.

  • Waiting to line up a guarantor until asked. If your income is on the lower end for a unit, having a guarantor ready from the start avoids a scramble later.

Once submitted, expect a credit check and reference verification before a decision — this typically takes a few business days depending on how quickly references respond. In a competitive rental market, a complete, well-prepared application is often the single biggest factor in how quickly you hear back.
